How to submit project for State Science Day

**How to Submit Your Project to State Science Day**

State Science Day is the pinnacle of student-originated, inquiry-based science and engineering education for Ohio’s students. If your project has been qualified for State Science Day, congratulations on this remarkable achievement!

  1. This year’s State Science Day (SSD) judging will be virtual.
  2. Scholarship & Sponsored Awards will be offered.

To guide you through the submission process, we've outlined the steps below:

1. Check Your Email Inbox:
Keep an eye on your inbox starting Monday, March 11, as we will begin sending qualification emails on that day. If you receive an email informing you that your project has qualified for State Science Day, proceed to the next steps. If you don't receive an email, don't worry; you can still check if your project qualified by following the steps below.

2. Log in to Project Board:
Visit [projectboard.world/oas](https://projectboard.world/oas) and log in to your account. Once logged in, navigate to your project page by clicking on the My Project Link in the Nav bar. On 'My Project Page' Click on the project card

Note: If you are on a submitted version of your project (eg. District Science Day submission) you will first need to go to your Original Project. You can do this by clicking on see Original button on the right, or Click here link at the top of the project ( see image below)

3. Check for the State Science Day Ribbon:
Qualifying projects will have a State Science Day Ribbon displayed on the project cover image (see image below) . If your project has a ribbon displayed, proceed with the submission process.

4. Submission Deadline:
We highly encourage all participating students to submit their project as soon as possible. Submission deadline is April 2, 2024 at 11:59 PM. Make sure to complete the submission process before the deadline to ensure your participation.

Required Forms and Steps:
To successfully participate in State Science Day, you will need to complete the following steps and provide the required documents:

1. **ISEF/Consent Forms:** Confirm you have uploaded the necessary forms as attachments to the project section named 'Required Forms' on your project. If you haven’t, please upload them (ISEF and Consent/Release form).

2. **Abstract:** Attach your abstract as an attachment to the project section named 'Abstract' on your project. If you haven’t, please upload your abstract.

3. **Final Report:** Attach your abstract as an attachment to the project section named 'Final Written report' on your project.  If you haven’t, please upload your final written report.

4. **Video:** If you haven’t already, create and upload a video presentation of your project, highlighting key aspects and findings. Attach the video to project section named 'Video'. If you previously participated in District 18, you can use the same video OR re-record based on judge suggestions.

5. **Quad Chart:** If you haven’t already, prepare and upload a quad chart to project section named 'Quad Chart'. If you previously participated in District 18, you can use the same quad chart OR upload a new one based on judge suggestions.

Note: Make sure all of the above are attached to the correct project section. Do NOT add these as comments to the project or project sections.

6. **Payment:** The registration fee is $60.00 per student. Registration fees must be paid by April 2nd via the payment form: https://form.jotform.com/OhioScience/2024SSDpayment
To update your payment information, Click on Pay Now button (as shown below)

When you click on Pay now, the following pop up will appear. There are two types on payment methods:

- Credit Card: If you will be making your payment by credit card, click on the 'click here' link above Paid by Credit Card button. Follow the payment process and make sure your payment is successfully completed. Once done, return to ProjectBoard and click on Paid by Credit Card Button.

- Paid by School: If your school is paying your registration fee click on Paid by School.

Once you've finished updating your payment, you'll see that the buttons on the payment card turn green. This confirms that your payment information has been successfully saved.

Note: you may update your payment information anytime before you submit your project.  Once you submit your project this information will not be editable.

Make sure that the participation fee is paid and properly updated on your project page. If your project involves multiple team members, it's crucial that each team member individually logs into their account to update the payment information. Failure to do so may result in the project being declined from participation.

7. **Award Selections:** Update your award selections on the cards located on the right side of your project page: SSD Sponsored Award Selection, click on update form button.

The following form will appear, make sure you review the Red and Black booklet link for award and scholarship details. Once you are sure about your selection, complete the form.

Note:
If your project involves multiple team members, only one team member has to complete this form. Any team member can make changes to the form. All the changes will be reflected on each team members account.

Once you've finished selecting your awards, you'll see that the buttons on the award selection card turn green. This confirms that your choices for awards and scholarships have been successfully saved.

You may update your selection information anytime before you submit your project.  Once you submit your project this information will not be editable.

After completing all the aforementioned steps, when you're ready to submit your project, locate the blue "Submit" button at the top of your project page. Click on it.

A confirmation modal will appear; click "Submit" again to confirm.

Your project should now be successfully submitted. You will see another confirmation modal, and the submission card should display the status of your project as "Submitted" in blue.

Additionally, all project team members should receive an email confirmation, as well as an in-app notification, confirming the submission of the project.
